What It Really Takes to Run an A-Lister's Calendar
Five calendars, three time zones, one human being. A look at the quiet craft of schedule management at the top of the industry.
A principal's calendar is never one calendar. There is the work calendar, the personal one, the household one, the travel one, and the one that only exists in the assistant's head because it contains things that must never be written down.
Managing it well is less about software and more about judgement. Which meeting can move? Which flight cannot? Which request from a friend of a friend is genuinely urgent, and which is simply loud? The assistant's real job is deciding what reaches the principal at all.
Good calendar managers work in buffers. They build in travel time that looks excessive on paper and turns out to be exactly right, and they never schedule two commitments back to back in different parts of a city. When something slips, the buffer absorbs it and the principal never knows it happened.
The best compliment an assistant can receive is silence. When the calendar is running properly, nobody notices the work at all — the day simply unfolds the way it was supposed to.
